Reimbursement for Equipment and Computer Software

In order to receive reimbursement from University funds for computer equipment or software purchases, UBC IT at Sauder must register the items purchased. In the case of hardware, items must be bar coded and engraved as UBC (Sauder) property.

Please note that registration through the UBC IT at Sauder Service Desk must be done before any reimbursement can occur.

As part of this process, IT will:

  1. record the product's model number, serial number, product registration keys, as applicable.
  2. confirm that the receipts submitted match the items brought in for registration.
  3. stamp you receipts as “asset registered with UBC.

You can then submit your receipts to the Accounts office in HA 447 for reimbursement.

Also, as a reminder, faculty and staff are eligible for products available under the Microsoft Campus-wide Agreement (CWA), which offers a variety of software at greatly reduced prices.

This agreement has provisions for home use computers; however, software for home use must be installed by a UBC IT at Sauder technician on campus. More information about the CWA is available from UBC IT here.
