Application Required Documents

Applications will not be reviewed by the admissions committee until you have completed your online application and all of the following required supporting documentation is received in official form:

  • Transcripts/Degree Certificates  
  • Letters of Reference
  • GMAT/GRE
  • English Proficiency Exam
  • Citizenship and Immigration Status
  • Two Passport Style Photographs

Transcripts
All applicants must arrange to have official transcripts sent directly to the Sauder School of Business MM-ECM Programs Office by the home university. You are encouraged to have your transcripts sent to us as early as possible so that your file can be sent to the admissions committee; however, we do accept transcripts after the application deadline. Transcripts must be submitted from all universities or colleges which have been attended. Documents for all applicants must be received in envelopes which have been sealed and endorsed by the issuing institution. UBC Vancouver and UBC Okanagan graduates do not need to submit UBC transcripts as the UBC MM-ECM Programs Office will access these through the Student Information System Centre (SISC). If you graduated from the University College of the Okanagan before it was officially renamed UBC Okanagan, you will need to submit these official transcripts.

Conditional offers will be made in the beginning of January once Term 1 grades are available. If you do not have a conferred degree at the time of application, please provide us with the most updated transcript (can be unofficial) when you submit your application. In order for a conditional offer to be made, at least 15 credits of senior-level work must be completed and all other application requirements must be fulfilled. Once the degree is conferred, please send an official copy of your transcript and/or official degree certificate to our office as soon as possible. A graduation letter will be required if your convocation ceremony occurs after the start of the MM-ECM program.

If your university will not produce additional official copies of your transcripts, you must:

  • Make a photocopy of your original transcript
  • Send the photocopy to your home university asking them to:
  • Verify that the photocopy is consistent with their records
  • Attest that the copy is a true copy by stamping it with the official university stamp
  • Put the attested, stamped photocopy in university envelopes which have been endorsed with the Registrar's signature or University's stamp across the seal
  • Mail the sealed, endorsed envelopes directly to the MM-ECM Programs Office

Degree Certificates 
In addition to sending official transcripts, applicants must also submit an official degree certificate indicating degree conferral. For some countries, the degree certificates must also show the degree classification. Transcripts from the USA and Canada do not need to be accompanied by a degree certificate if the transcript indicates degree conferral and the date of graduation. If your university will not produce additional official copies of your degree certificate, you must:

  • Make a photocopy of your degree certificate
  • Send the photocopy to your home university asking them to:
  • Verify that the photocopy is consistent with their records
  • Attest that the copy is a true copy by stamping it with the official university stamp
  • Put the attested, stamped photocopy in university envelopes which have been endorsed with the Registrar's signature or University's stamp across the seal
  • Mail the sealed, endorsed envelopes directly to the MM-ECM Programs Office

English Language Translations of Transcripts and Degree Certificates 
Applicants who have graduated from non-English speaking countries must arrange to have all academic records issued in theoriginal language and accompanied by certified English language translations (English translation must be a literal translation of the original document). To be considered official, transcripts and degree certificates, if applicable, must be received by our office in envelopes sealed and endorsed by your home university. If you university is unable to provide translated official academic records in English, you must arrange to have the original language documents translated by a Certified English translator, per the instructions below:

  • Make a photocopy of your original language transcripts and degree certificates, if required (do not open a sealed, endorsed envelope containing the original transcripts intended for submissions to the MM-ECM Office for your application)
  • Take the photocopy to a Certified English Translator and ask them to provide a complete, word-by-word, literal English translation, endorsing the translation with their numbered seal
  • Ask the translator to put both the original language transcript and degree certificate photocopies and the literal English translations into a sealed envelope and endorse the envelope by stamping their numbered seal/stamp across the sealed envelope Submit the translations in the sealed, endorsed envelope to the UBC MM-ECM Office - do not open this envelope
  • Ask Submit your original language official transcripts, and degree certificate if required, in sealed, endorsed envelopes from your home university to the UBC MM-ECM Office - do not open this envelope

Letters of Reference (2 required) 
You are responsible for obtaining references from two referees who are prepared to provide a confidential report on your academic ability and professional qualifications. Professional references are preferred. Your referees must fill out UBC's required form online. Separate letters will no longer be accepted.

Online Reference Form: Instructions:

  • In the section of the application entitled "Referee details", you will be asked to provide the contact information for your chosen referees (Two are required; a third is optional. No additional references will be considered.). Please ensure that the correct email address is filled in for your referee.
  • You will have the option of sending your referees their details at any time after completing the "Referee details" page. If you don't send the details, they will be sent when the application is submitted.
  • Your referees will be given a specific password that will allow us to match their forms with your application. You will not have to provide your referees with additional information.

GMAT (Graduate Management Admission Test) or GRE (Graduate Record Examinations
The GMAT or GRE is mandatory for all applicants and files will not be evaluated before the official GMAT or GRE score has been received. We will not accept photocopies or faxed score reports. GMAT scores are valid if written within the last five years. You must arrange to have the official results sent directly from the testing service organization to the MM-ECM Programs Office at UBC. It is in your best interest to write the GMAT or GRE exam no later than 4-6 weeks prior to the MM-ECM application deadline in case you need to re-write the exam. However, we do accept test scores up until and after the application deadline (it usually takes our office approximately 1 week to receive a GMAT score from GMAC and 1 month for a GRE score from ETS). Applicants are required to complete all sections of the GMAT or GRE.

English Proficiency Exam            
The Test of English as a Foreign Language (TOEFL), an IELTS (Academic), Pearson Test of English Academic (PTE Academic) or a MELAB is required for all candidates whose degrees are from a university outside Canada or the USA in which English was not the official language of instruction. English Language Proficiency exams should be taken no later than 4-6 weeks prior to the MM-ECM application deadline.

Citizenship and Immigration Status

Permanent Canadian Residents must give date of entry into Canada and provide proof of Permanent Resident status (Copy of front and back of Permanent Resident Card - date on back must be legible).

Important Note Regarding Documents: All submitted application materials, including irreplaceable documents, become the property of the Sauder School of Business and will not be returned. Admission files are reviewed only upon receipt of all required application materials including the transcripts, referee letters, GMAT and TOEFL/IELTS/MELAB (if required). Applications received or completed after the deadlines will be considered only if space is available.

If you have applied to our programs within the last two years, it is not necessary to submit new letters of reference and new transcripts unless you have undertaken further academic studies, as we retain all documentation for a two-year period.
